These Terms and Conditions (“Terms”) govern the provision of services by Protec Event Services Ltd, herein referred to as “Protec”, “we”, “our”, or “us”. By engaging our services, the Client (“you”) agrees to be bound by these Terms.

 

1. Scope of Services

Protec provides professional medical, fire safety, and security services for events. Specific services will be detailed in individual service agreements or quotations.

 

2. Bookings & Cancellations

  • Confirmation: All bookings are confirmed in writing via email or signed agreement.
  • Deposit: A deposit may be required to secure services.
  • Cancellation by Client:
    • More than 14 days before the event: No charge (deposit refundable if applicable).
    • 7–14 days: 50% of total fee payable.
    • Less than 7 days: 100% of total fee payable.
  • Cancellation by Protec: In the unlikely event we must cancel, we will provide as much notice as possible and offer a full refund or suitable replacement service.

 

3. Client Responsibilities

The Client agrees to:

  • Provide accurate event details including timings, location, attendance numbers, and known risks.
  • Ensure safe working conditions for Protec staff and access to welfare facilities where appropriate.
  • Comply with all legal and licensing obligations relevant to the event.

 

4. Protec Responsibilities

We commit to:

  • Deliver services with reasonable skill, care, and diligence.
  • Supply trained, licensed, and competent personnel.
  • Maintain appropriate insurance including public liability and employer’s liability.

 

5. Abuse Toward Staff

Protec maintains a zero-tolerance policy toward abuse, harassment, or intimidation of its personnel.

  • Verbal, physical, or written abuse directed at Protec staff will result in immediate action, which may include withdrawal of services without refund and/or reporting to the relevant authorities.
  • The Client is responsible for ensuring that event attendees, subcontractors, and any third parties respect the safety and dignity of our personnel.
  • Protec reserves the right to remove staff from an unsafe or abusive environment if necessary for their wellbeing.

 

6. Liability

  • Protec is not liable for any loss, damage, or injury beyond our control or arising from incorrect or incomplete information provided by the Client.
  • Liability is limited to the value of the contract unless otherwise agreed in writing.
  • Protec shall not be held liable for failure to perform duties due to force majeure events (e.g., extreme weather, strikes, or other unforeseeable events).

 

7. Insurance & Compliance

  • Protec maintains full insurance coverage for its operations.
  • All services are carried out following current UK legislation, including:
    • Health and Safety at Work etc. Act 1974
    • Data Protection Act 2018 / UK GDPR
    • Relevant industry-specific regulations (e.g., SIA Licensing, medical standards)

 

8. Confidentiality

Both parties agree to maintain the confidentiality of sensitive or proprietary information exchanged during the contract unless disclosure is required by law.

 

9. Data Protection

10. Complaints

Any complaints regarding services must be submitted in writing within 7 days of the event. We will investigate promptly and aim to respond within 14 days.

 

11. Governing Law

These Terms shall be governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
